1. Acceptance of terms
(a) By accessing or using VouchMe, you agree to these Terms of Service and to any product rules shown in the workflow you choose to use.
(b) If you use VouchMe on behalf of an organisation, hiring team, employer, recruiter, or other party, you confirm that you have authority to do so and that you will use VouchMe only for lawful, appropriate professional reference purposes.
(c) If you do not agree with these terms, you should not use VouchMe.
2. What VouchMe is
VouchMe helps users request, provide, control, review, and manage access to professional reference information.
A Vouch may include structured reference details, written answers, audio answers, transcripts if generated, status history, access requests, approvals, declines, expiry settings, and related workflow records.
VouchMe is a trust workflow tool. It is not a recruitment agency, HR adviser, lawyer, background-check provider, police-check provider, credential-check provider, employment screen, or employment decision-maker.
VouchMe does not guarantee that a Reference will complete a Vouch, that a Candidate will get a job, or that a Recruiter or hiring team will rely on a Vouch.
3. User roles: Candidate, Reference/Referee, Recruiter
VouchMe uses roles based on the workflow and record involved. A person may be a Candidate in one workflow, a Reference or Referee in another, and a Recruiter or requester in another.
A Candidate is usually the person the professional reference information is about. A Reference or Referee is the person asked to provide or control Vouch source content. A Recruiter may request access to, review, or use a Vouch for a professional hiring or reference-checking purpose.
Users must be honest about their role, identity, relationship to the record, and reason for using VouchMe.
4. Account responsibility and sign-in
VouchMe may support sign-in by email and password, magic link, Google OAuth, and Microsoft OAuth. You are responsible for keeping your account access secure and for using an email address you are authorised to use.
You must not share access to your account, impersonate another person, use another person's account, or misrepresent your role in a VouchMe workflow.
Some VouchMe workflows can begin without a full account, such as guest or invite-based participation. Those flows still require accurate information and may later require sign-in to save, review, or manage records.
5. Reference/Vouch content
Users must provide information that is accurate, lawful, relevant, and appropriate for the professional reference workflow they are using.
A Vouch is not a full background check, employment screen, police check, credential check, legal verification, or guarantee of a person's suitability for a role.
You must not submit content that is defamatory, abusive, discriminatory, unlawful, confidential without permission, misleading, malicious, or otherwise unauthorised.
You should not include sensitive information unless it is necessary, appropriate, lawful, and authorised for the workflow.
6. Reference control and access approval
VouchMe is designed so Reference or Referee source content remains controlled according to the access rules available in the product.
Having a link, Vouch ID, shared reference, guest pass, or account does not automatically grant access to Vouch source content.
Access may depend on the user's role, relationship to the record, approval status, expiry settings, revocation state, and other product controls.
A Reference or Referee may be able to approve, decline, revoke, delete, or otherwise manage access to Vouch source content according to the product features available at the time.
7. Recruiter access and limitations
Recruiters and hiring teams may request access to Vouch information for legitimate professional hiring, reference-checking, or evaluation purposes.
Recruiter access may require Reference approval and may expire. Approved access does not create a permanent right to keep viewing source content.
Recruiters are responsible for using Vouch information fairly, lawfully, and in context. Recruiters should not treat a Vouch as a substitute for their own hiring process, legal obligations, identity checks, qualification checks, employment screening, or candidate assessment.
VouchMe does not decide whether a Candidate should be hired, interviewed, shortlisted, rejected, or otherwise progressed.
8. Candidate sharing and limitations
Candidates may use VouchMe to request references, track high-level status, receive share links or Vouch IDs where available, and share Vouch-related information through approved product flows.
Candidate access may be summary-only unless the workflow and access rules allow more detail. Vouch source content may remain under Reference or Referee control.
Candidates must not pressure, coerce, mislead, or impersonate a Reference, Recruiter, or other participant.
VouchMe does not guarantee that sharing a Vouch will result in a job offer, interview, role progression, or reliance by a Recruiter or hiring team.
9. Audio, written answers, and transcripts
A Vouch may include audio answers, written answers, structured responses, transcripts if generated, and related metadata.
Audio and written Vouch content may be hosted, processed, stored, displayed, transmitted, and made available only as needed to operate the VouchMe workflow, provide access controls, support playback or review, maintain audit records, and protect the service.
Users should speak and write truthfully, professionally, and appropriately. If transcripts or summaries are generated, they may contain errors and should be treated as workflow support rather than legal or employment advice.
10. Acceptable use
You may use VouchMe for lawful professional reference workflows, including requesting, providing, managing, sharing, approving, declining, reviewing, and auditing access to Vouch records.
You must use VouchMe in a way that respects the privacy, reputation, consent, and reasonable expectations of Candidates, References, Referees, Recruiters, and other workflow participants.
You must provide accurate contact and role information, use only information you are authorised or comfortable to provide, and follow any product instructions shown during the workflow.
11. Prohibited conduct
You must not impersonate another person, misrepresent your identity or role, seek access you have not been given, bypass access controls, interfere with security features, or use VouchMe for spam, scraping, harassment, fraud, surveillance, or unlawful profiling.
You must not coerce, threaten, pressure, deceive, or manipulate a Candidate, Reference, Referee, Recruiter, or hiring team into participating or granting access.
You must not upload, record, submit, transmit, or share defamatory, abusive, discriminatory, unlawful, confidential, unauthorised, misleading, malicious, infringing, or harmful content.
You must not attempt to reverse engineer, overload, disrupt, attack, or misuse VouchMe or its connected services.
12. Paid features, billing, subscriptions, and Stripe
VouchMe may offer paid features, subscriptions, trials, usage limits, plan tiers, or account upgrades. Paid features may change over time and may depend on the plan, account status, payment status, and product configuration available at the time.
Payments and billing-related services may be processed through Stripe. Stripe may collect and process payment information under its own terms and privacy notices.
A paid plan does not guarantee that a Reference will complete a Vouch, that a Recruiter will approve or rely on a Vouch, or that any employment outcome will occur.
Billing terms in VouchMe do not override non-excludable consumer guarantees, statutory rights, or other legal rights that apply under New Zealand law or other applicable law.
13. Refunds and cancellations
You may be able to cancel paid features or subscriptions through the VouchMe product, Stripe customer portal, or by contacting VouchMe, depending on the billing setup available at the time.
Refunds, credits, plan changes, and cancellations may depend on the product, billing cycle, Stripe status, applicable law, and the specific circumstances of the request.
Nothing in these terms limits any refund, cancellation, or consumer right that cannot legally be excluded.
14. Third-party services
VouchMe uses third-party services to operate the platform. These may include Supabase for authentication, database, and storage; Vercel for hosting; Resend for transactional email; Stripe for billing; Google and Microsoft for OAuth sign-in; and Cloudflare Turnstile or similar tools for bot and abuse prevention.
Third-party services may have their own terms, privacy notices, availability limits, account requirements, and security practices.
Some VouchMe features may be unavailable, delayed, or limited if a connected third-party service is unavailable, misconfigured, restricted, or changed.
15. Privacy
VouchMe's Privacy Policy explains how VouchMe collects, uses, stores, shares, retains, and deletes personal information, including Google and Microsoft OAuth data and Vouch workflow data.
The Privacy Policy forms part of these terms and is incorporated by reference. You can read it at /privacy.
By using VouchMe, you agree that personal information may be handled as described in the Privacy Policy and as needed to operate the VouchMe workflow you choose to use.
16. Content rights and licence to operate the service
You keep ownership of the content you submit to VouchMe, subject to any rights held by other people and any legal limits that apply.
You give VouchMe the permission needed to host, process, store, display, transmit, reproduce, format, analyse, secure, and make available your content only as needed to operate, support, protect, improve, and audit the VouchMe service and the workflows you participate in.
You confirm that you have the rights, permissions, and authority needed to submit the content you provide, including information about other people where applicable.
17. Deletion, suspension, and expiry
Some records, guest passes, invite links, access windows, temporary authoring grants, and shared links may expire, be revoked, or become unavailable according to product rules.
VouchMe may delete, de-identify, suspend, restrict, or retain records where needed to operate the service, comply with law, resolve disputes, prevent fraud or abuse, protect users, enforce these terms, or maintain security and audit records.
VouchMe may suspend or restrict access where needed for security, misuse prevention, legal compliance, or trust and safety.
Deleting an account or revoking OAuth access may not automatically delete all workflow, legal, security, billing, audit, dispute, or backup records. The Privacy Policy explains deletion requests and retention in more detail.
18. No employment, HR, legal, or background-check advice
VouchMe provides workflow tools and record-management features. It does not provide employment advice, HR advice, legal advice, immigration advice, hiring recommendations, background checks, police checks, credential verification, or fitness-for-role decisions.
Users are responsible for their own decisions, obligations, legal compliance, employment processes, fairness checks, consent practices, and use of Vouch information.
You should get independent professional advice where a hiring, legal, HR, privacy, or compliance decision requires it.
19. Service availability and changes
VouchMe may change, add, remove, suspend, or discontinue features, workflows, plans, limits, routes, third-party integrations, or availability from time to time.
VouchMe aims to operate reliably, but online services can experience downtime, bugs, maintenance windows, provider outages, data-processing delays, and configuration issues.
Where practical, VouchMe may provide notice of material changes, but some changes may be made immediately for security, legal, operational, or trust and safety reasons.
20. Liability and disclaimers
VouchMe is provided as a professional reference workflow service. To the extent permitted by law, VouchMe does not promise that the service will be uninterrupted, error-free, complete, or suitable for every hiring or reference-checking purpose.
VouchMe is not responsible for employment decisions, reference opinions, user-submitted content, third-party service outages, or outcomes caused by users relying on incomplete, inaccurate, unauthorised, or out-of-context information.
Nothing in these terms excludes or limits liability, consumer guarantees, or other rights that cannot lawfully be excluded or limited.
Where VouchMe is permitted to limit liability, VouchMe's liability will be limited in a fair and reasonable way having regard to the service, the claim, applicable law, and any amount paid for the relevant feature.
21. New Zealand law
These terms are governed by New Zealand law.
If a dispute arises, the parties should first try to resolve it in good faith by contacting VouchMe and giving each other a reasonable opportunity to respond.
Courts and dispute-resolution bodies with jurisdiction under New Zealand law may deal with disputes that cannot be resolved informally, unless another mandatory law applies.
